Clear Align Front Office Manager

Clear Align is looking for an upbeat, outgoing, and customer focused Front Office Manager to join our rapidly-growing team. Clear Align designs, prototypes and manufactures custom imaging, sensing and fiber optic systems for defense, aerospace and commercial customers

The Front Office Manger role calls an individual with a vibrant personality, excellent data entry skills and ability to manage complex tasks regarding travel planning and accounting data entry. The successful candidate will be a, highly-motivated self-starter with excellent computer skills. An enthusiastic attitude and positive mind-set are a must, since he/she will be the first person to greet employees and visitors. He/she must also work well with all levels of internal management and staff and support the CEO on key tasks. There is an opportunity for career growth and equity for a candidate that excels.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains calendar, contacts and arrange travel for CEO Maintain complex customer relationship database
  • Maintains inventory and office equipment to ensure uninterrupted business operations
  • Prepares personal correspondence and letter writing for executive team
  • Answers phones and is the first voice to customers and government officials
  • Greets customers and government officials during on-site visits
  • Performs computer and internet research
  • Manages data entry in complex customer relationship management databases and internal ERP systems
  • Performs any general administrative tasks needed such as filing, organize and ordering office supplies, and running business errands
  • Assists in maintaining paper and electronic filing systems
  • Completes expense reports in MS Excel format
  • Processes mail and manages paper flow within the office
  • Assists Controller with data entry of accounting transactions.
  • Processes Accounts Payable invoices as well as verify statements to ensure accurate accounting.
  • Maintains attendance records and employee timecards
  • Processes all material requests and purchase orders as submitted and maintains a purchase order log
  • Verifies packing slips against purchase orders.
  • Prepares and coordinates shipments including packaging and filling out documentation using shipping websites such as UPS.com

  • Must be very good with numbers and managing complex spreadsheets and expense reports
  • Must be able to work effectively with all levels of the organization and have the ability to multi-task and work in a fast paced environment.
  • Background with accounting software is a plus.  Working knowledge of spreadsheets (MS Excel), word processing (MS Word), and web applications
  • Excellent communication and organizational skills, positive attitude, customer service oriented, and professional
